SARS Invoicing Guidelines

South African Invoicing: VAT, Requirements & Practical Rules

Whether you are an independent freelancer, sole proprietor, or running a registered Pty Ltd, issuing clear, compliant invoices in South African Rand (ZAR) ensures rapid client approval and smooth tax compliance.

When to Charge 15% VAT

Only businesses registered as VAT vendors with SARS may levy 15% Value-Added Tax and issue tax invoices. Unregistered businesses must not add VAT or label the document as a "Tax Invoice" — simply use standard invoices with no tax line.

Prescribed SARS Invoice Details

A valid South African tax invoice requires your registered business name, physical address, 10-digit VAT number, your client's details, an unbroken serial number, issue date, granular line items, and distinct subtotal, VAT, and total lines.

Key SARS Considerations for Small Businesses

  • Banking details: Include your local bank name, account holder, account number, branch code (universal branch codes work best), and payment reference.
  • Record retention: Under the Tax Administration Act, South African vendors must retain records of all issued invoices and receipts for a minimum of five years.
  • Read our comprehensive guide: For a complete breakdown of SARS thresholds and requirements, check our detailed guide on VAT invoice requirements in South Africa.
